MSP Pricing Models: Per User vs Per Device vs Flat Rate

MSP pricing usually falls into three broad models: per user, per device, or flat-rate bundled pricing. Each can work, but they shift risk differently between the MSP and the client.

Per-device pricing

This model assigns a recurring price to workstations, servers, network devices, or other managed assets.

Advantages

  • Easy to connect price to managed assets
  • Useful when software costs are device-based
  • Simple to model with endpoint counts

Risks

  • User-heavy clients can consume more support without adding devices
  • Customers may resist charges for infrastructure they do not understand

Per-user pricing

This model charges based on supported users rather than physical devices.

Advantages

  • Aligns with user support demand
  • Can simplify multi-device environments

Risks

  • Infrastructure-heavy clients may be underpriced
  • Shared devices and servers still create cost

Flat-rate pricing

Flat-rate pricing can be simple for the client but requires careful scope control. The MSP absorbs more utilization risk if the client consumes much more support than expected.

Hybrid pricing

Many MSPs combine a base monthly fee with per-user, per-device, or server charges. This can better reflect both fixed account-level costs and variable support demand.
