Per-endpoint MSP pricing can be simple for customers to understand, but the number only works if it covers the real cost of delivering the service. Software licenses are only one piece of the calculation.
List the direct software stack
Include the tools required to support each managed endpoint:
- RMM
- Endpoint protection
- Backup
- DNS/web filtering
- Password management
- Documentation
- Remote access
- Other security or monitoring tools
Estimate support labor
Historical support hours are more valuable than assumptions. Track how many technician hours the client actually consumes each month, then add reasonable allowance for expected growth and proactive work.
Add fixed client-level costs
Some costs do not scale per endpoint:
- Account management
- Documentation maintenance
- Reporting
- Network monitoring
- Vendor management
- Backup infrastructure
- After-hours readiness
Allocate overhead
MSP pricing still has to support insurance, admin, tools, vehicles, office expense, management time, and non-billable labor.
Set a target gross margin
Once you know monthly delivery cost, divide by one minus the target margin. A $2,000 monthly delivery cost with a 50% gross-margin target requires $4,000 in MRR.

Do not price servers like ordinary endpoints
Servers often have higher software cost, risk, backup responsibility, and support requirements. Treat them separately or use an appropriately higher unit rate.
Price the service level, not only the device
A 50-endpoint client with unlimited onsite support, after-hours coverage, backup, compliance requirements, and complex line-of-business applications should not be priced the same as a simple 50-endpoint office with limited support.
