How to Price Managed IT Services Per Endpoint

Updated September 4, 2026

Per-endpoint MSP pricing can be simple for customers to understand, but the number only works if it covers the real cost of delivering the service. Software licenses are only one piece of the calculation.

List the direct software stack

Include the tools required to support each managed endpoint:

  • RMM
  • Endpoint protection
  • Backup
  • DNS/web filtering
  • Password management
  • Documentation
  • Remote access
  • Other security or monitoring tools

Estimate support labor

Historical support hours are more valuable than assumptions. Track how many technician hours the client actually consumes each month, then add reasonable allowance for expected growth and proactive work.

Add fixed client-level costs

Some costs do not scale per endpoint:

  • Account management
  • Documentation maintenance
  • Reporting
  • Network monitoring
  • Vendor management
  • Backup infrastructure
  • After-hours readiness

Allocate overhead

MSP pricing still has to support insurance, admin, tools, vehicles, office expense, management time, and non-billable labor.

Set a target gross margin

Once you know monthly delivery cost, divide by one minus the target margin. A $2,000 monthly delivery cost with a 50% gross-margin target requires $4,000 in MRR.

Use the MSP Pricing Calculator to model delivery cost, target monthly recurring revenue, per-endpoint price, and annual contract value.

Do not price servers like ordinary endpoints

Servers often have higher software cost, risk, backup responsibility, and support requirements. Treat them separately or use an appropriately higher unit rate.

Price the service level, not only the device

A 50-endpoint client with unlimited onsite support, after-hours coverage, backup, compliance requirements, and complex line-of-business applications should not be priced the same as a simple 50-endpoint office with limited support.

Syncro is worth comparing for a small MSP that wants RMM and PSA capabilities in one platform.

Frequently asked questions

What should I charge per endpoint?

There is no universal number. Calculate software, labor, fixed costs, overhead, and your target margin first.

Should users and endpoints both be billed?

Some MSPs use one model, some use the other, and some use a hybrid. Choose the model that best matches how your costs scale.

Should project work be included in the monthly price?

Only if the agreement clearly defines it and the recurring price supports the expected project workload.
